Customer Service Data Entry 

In this role, you will be responsible for accurately entering purchase order information into the Company’s systems and coordinating the process of applying for licenses and permits required for importing and exporting controlled products.

Roles and Responsibilities
  • General customer service roles include but are not limited to, providing formal quotes for Wilcox Customers Purchase Order Data Entry, receiving purchase orders from various business partners, and accurately and efficiently enter purchase order details into the company's SAP system.
  • Verify the accuracy of purchase order information, including quantities, pricing, product descriptions, and delivery schedules. Work closely with procurement, and sales teams to resolve any discrepancies or issues related to purchase orders.
  • Knowledge of license and permit application, collaborate with the compliance officer to identify the products or shipments that require import/export licenses or permits based on the regulatory requirements.
  • Prepare and submit license applications and relevant documentation to the appropriate government agencies or regulatory bodies.
  • Ensure all required information and supporting documents are complete and submitted within the designated timeframes.
  • Monitor the status of license applications and track progress until approvals are obtained.
  • Assist the compliance team in conducting due diligence on products and countries to determine applicable import/export regulations and licensing requirements.
  • Maintain knowledge of relevant trade regulations, including ITAR, EAR, customs regulations, and other trade control laws.
  • Provide support during internal and external compliance audits related to import/export activities and license applications.
  • Maintain accurate and organized records of all purchase orders, license applications, and related documentation.
  • Create and manage databases to track the status of license applications and approvals, ensuring up-to-date information is readily available for reference.
  • Collaborate with internal departments, including procurement, sales, and compliance, to ensure a seamless flow of information related to purchase orders and license applications.
  • Identify opportunities for process improvements in PO data entry and license application procedures to enhance efficiency and accuracy.
  • Propose and implement best practices to streamline workflows and reduce potential compliance risks.
  • Responsible for preparing all invoices and documentation for export shipments.  
  • Other duties as assigned.

Qualifications and Requirements
  •  Bachelor’s degree required and 1-2 years in a business setting; SAP experience preferred.
  • Exceptional organizational skills, a keen eye for detail, and the ability to spot errors with accuracy and efficiency.
  • Good communication skills and the ability to collaborate with staff members.
  • Solid time management skills and the ability to prioritize tasks/work and deliver maximum business value.
  • Strong understanding of Microsoft Excel or similar database software.
  • Knowledge of word processors, like Microsoft Word.
  • Excellent typing and transcription skills, including typing at fast speeds.
  • Ability to research and collect data.
  • Candidates must be flexible to align with changes to work schedule as needed.
  • Regular on-site attendance is a necessary function of this position. 
  • Observes all safety rules and uses the proper safety equipment at all times.
Compensation offered may vary depending upon job-related knowledge, skills, and experience.
